Webinar: Wed-based EUDR Compliance - supporting Traceability and Due diligence

On 21 November 2025, the EUDR Forestry Network held a webinar titled “Web-based EUDR Compliance - Supporting Traceability and Due Diligence” introducing a digital platform that supports compliance with the European Union Deforestation Regulation (EUDR). The platform, developed by the Vietnam Forest Certification Office (VFCO), is currently assisting enterprises and smallholders in the rubber, coffee, and wood sectors, with more than 20,000 land plots in the Southeast, Central Highlands, and South Central Coast already standardized and integrated into the system.

Digital system for EUDR due diligence from land-plot level to final shipment

VFCO’s traceability platform is built on a web-based system that enables:

• Producers to register accounts, map their land plots, and update documents such as land-use right certificates, species information, harvest records, etc.
• Purchasing, processing, and exporting entities to manage transactions, collect evidence, and prepare due diligence dossiers in compliance with EUDR requirements.
• All transactions in the supply chain to be linked through parent–child relationships, allowing full traceability from the final product back to the original land plot.

The system requires both buyers and sellers to have accounts, ensuring accurate matching of all commodity flows. Each order is assigned a QR code and linked to a unique URL containing complete traceability information.

Automatic detection of deforestation risk and classification of EUDR compliance levels

To meet the EUDR’s “deforestation-free” requirement, the system integrates two core geospatial datasets:

• EU Global Forest Map 2020 (version 2.0)
• Vietnam’s official forest-change map under Circular No. 33, updated to 31 December 2020

Once a land plot is uploaded, the system automatically:

• Checks intersections between the land boundary and forest areas based on both datasets
• Determines whether the land plot has encroached into forest areas after 2020.

Producers can create land maps by drawing directly on the base map, manually entering coordinates, or uploading GIS files (KML, SHP, GeoJSON, etc.). They may also authorize traders or enterprises to perform the verification on their behalf.

Solutions for smallholders, enterprises, and regulatory agencies

The VFCO's traceability platform is designed to simultaneously meet the needs of three main stakeholders:

For smallholders:

• Self-check whether their plots overlap with forests according to EUDR standards.
• Create traceability profiles to facilitate selling to exporting enterprises.

For processing – trading – exporting enterprises:

• Verify the land origin of input materials.
• Have full legal and technical evidence to prepare due diligence dossiers, meeting mandatory requirements when exporting to the EU.

For regulatory agencies:

• Monitor, compile statistics, and supervise the production and trade of deforestation-free products.
• Support policy development and coordinate the implementation of the EUDR at national and local levels.

More than 20,000 land plots have been added to the system – a milestone for the three key sectors

Until now, 20,000 land plots belonging to smallholders and enterprises in the rubber, coffee, and wood sectors have been uploaded to the VFCO system. This reflects the proactive preparation of Vietnamese enterprises in meeting the mandatory supply-chain transparency requirements of the EUDR.

The platform will continue to be updated with additional data, expanded to more provinces, and upgraded with new functions to better support the transition toward transparent, digitalized, and deforestation-free supply chains – aiming to fully comply with EU market regulations.

Conclusion

The webinar on 21 November 2025 demonstrated the strong support from stakeholders such as VFCO in helping agricultural and forestry sectors prepare for EUDR implementation. The development of a traceability platform, automated forest-map cross-checking, and standardized transaction information marks an important step that brings Vietnamese enterprises and smallholders closer to achieving EUDR compliance in an efficient, low-cost, and production-appropriate manner.
